Booking Terms

These Booking Terms summarise the key rules that apply when you book a session with Newborn Photography Art. They sit alongside the full Terms & Conditions, Privacy Policy and Cookie Policy.

Your Booking

  • A booking is confirmed when the booking flow is completed, the required booking fee is paid or accepted, and any required service contract or session agreement is accepted.
  • The studio may manually reserve a slot for you. You still need to check the details, sign required documents and pay anything due.
  • You must be 18 or over to book and must have authority to provide information about any child attending.
  • Please check names, contact details, dates, package choices, add-ons, voucher/discount codes, questionnaire answers and delivery details carefully.
  • The full private studio address is shared with booked clients rather than published publicly.

Payment

  • The booking fee secures the session date and is included in the package price.
  • Unless we say otherwise in writing, the booking fee is non-refundable except where the law requires a refund or we cancel and cannot provide a reasonable alternative.
  • The remaining balance must be paid according to the payment instructions, normally before final images, unedited galleries, products or downloads are delivered.
  • We may accept bank transfer, cash, card/Stripe, vouchers, discounts, store credit or instalments where available.
  • A discount or voucher can reduce the original package balance, but later extras can create a new amount due.
  • Failed or missed payments may delay galleries, downloads, editing, products, postage or voucher fulfilment.

Rescheduling And Attendance

  • Please give at least 72 hours' notice if you need to reschedule.
  • Rescheduling is subject to availability.
  • Short-notice changes, repeated reschedules, no-shows or very late arrival may mean the booking fee is forfeited or a new booking fee is required.
  • If we need to cancel because of illness, emergency, safety, weather, equipment failure or another event outside reasonable control, we will try to offer a suitable alternative date.

Safety

  • Baby-led safety comes first. We may change or refuse any pose, prop, food item, outfit, setup or idea if it is not suitable for the baby/child.
  • A responsible adult must stay present for children.
  • Please tell us about relevant allergies, medical needs, feeding needs, mobility needs, accessibility needs or safety concerns before the session.
  • Cake smash clients are responsible for checking allergy suitability for food/cake unless we have agreed something different in writing.

Session Rules

  • We cannot guarantee exact poses, sleeping babies, smiles, weather, image counts, props, backdrops or travel times.
  • Please do not take photos, videos, livestreams or behind-the-scenes recordings during the session unless agreed in advance.
  • Please arrive on time. Late arrival can reduce the session time.

Proofs, Selection And Editing

  • Proof/selection galleries are for choosing images only. Screenshots, copying, sharing, downloading or removing watermarks from proofs is not allowed.
  • Your selected images do not go to editing until you commit the selection or the studio otherwise accepts it.
  • If you choose more edited images than your package includes, you may need to deselect images or buy extra edited images.
  • The studio may reset a selection if needed. This can move the booking back to the selection step.
  • Editing style is our artistic judgement. Complex extra retouching may cost more.
  • RAW files are not supplied. Unedited JPEGs are supplied only if included or purchased and may include technical imperfections.

Galleries And Delivery

  • Final edited images are normally delivered 3-4 weeks after image selection and payment, unless we tell you otherwise.
  • Selection galleries are normally live for 1 month.
  • Galleries/client folders may be archived or deleted after around 6 months.
  • Please download and back up purchased final files promptly.

Copyright And Use

  • Newborn Photography Art owns copyright in the photographs, proofs and edits.
  • Once paid in full, you receive a personal-use licence for purchased final edited images.
  • Commercial use, brand use, resale, competition entry, supplier use, removing proof watermarks, AI training, commercial AI derivatives, or giving rights to third parties requires written permission.

Marketing Images And Testimonials

  • Booking a session does not give us permission to use your images publicly.
  • Portfolio, social media, awards, advertising, samples, seasonal campaigns and testimonial image use require separate consent.
  • You can withdraw image marketing consent through the Contact Us page.

Consumer Rights

These Booking Terms do not affect your statutory rights. If something is not provided with reasonable care and skill, tell us promptly so we can put it right.
